The Role:

The Hutong Education Team is looking for exceptional individuals to join our team. This position, HR Operations Coordinator, will work within The Hutong’s newly formed People Experience Team. Successful candidates will be highly organized with strong people skills. We are looking for people who can support complex, talent acquisition and retention focused projects, implement detailed human resources processes, and authentically connect with and engage our communities of full time and freelance staff.

The Hutong People Experience Team attracts top talent through gold standard recruiting processes and retains staff by organizing meaningful staff events, supporting the creation and delivery of learning and development opportunities, and by seamlessly connecting employees with benefits. The Hutong People Experience Team supports the company’s business operations by creating and implementing robust operational processes for freelance staff work agreements. Ultimately, we aim to be an exceptional place to work, learn and grow and this role is integral to lay the systematic and operational foundations for us to achieve this.

Responsibilities (what you will do):

  • Support the creation and maintenance of new processes and standard operating procedures that help ensure consistency and excellence of HR best practice;
  • Be a key contributor on the project leadership team for our Freelance Drive initiatives before each programming season;
  • Manage the creation of freelance staff work agreements, for freelance and seasonal staff;
  • Collaborate side-by-side with our finance team to ensure that work agreements are consistent and that our freelance staff are compensated punctually and accurately;
  • Coordinate the submission of all relevant follow-up documents in relation to staff program wages and finances;
  • Serve as a main point of contact for freelance staff, which will include clarifying their program staffing schedules, managing expectations, connecting them with program leadership teams, and clarifying wage payments and benefit access
  • Occasionally manage freelance staff travel and travel accommodation bookings, including tracking reimbursements, and documentation related to expense and wage payments;
  • Support our business operation team on staffing decisions before and throughout the program season;
  • Support the tracking of our unlimited leave policy for full time staff;
  • Track company demographics and employee wellbeing statistics to ensure we meaningfully champion equity diversity and inclusion in the workplace;
  • Support the People Experience Pack Leader in the execution of company key initiatives.
  • Translate any materials such as agreements and Talent Attraction and Employee Brand marketing materials;
  • Collaborate with other packs (Operations, Program Development, Customer Relationship Management) to ensure that communication is clear and consistent across the company with regards to HR procedures and initiatives
  • Join ~one travel program each month during our programs seasons to support program execution (6-8 weeks travel per year)
  • Work cross-departmentally on projects of interest

Requirements (qualifications and experience):

  • Industry experience in educational travel or functional experience in Human Resources preferred;
  • Possess strong verbal communications skills;
  • Are efficient, self-motivated and highly organized;
  • Able to multi-task and prioritize, especially during busy times;
  • Possess strong interpersonal skills that help connect with and motivate our freelance staff;
  • Efficient with Word, Excel, Powerpoint, preference for someone able to work with or willing to learn InDesign;
  • Have an eye-for-detail, seeking out personal touches to turn great ideas into standard practice;
  • Patient and calm during times of pressure;
  • Passionate about sharing Chinese culture and knowledge with others;
  • Fluent in spoken and written Mandarin;
  • Fluency in spoken English and proficient in written English;
  • Those with legal right to work in China preferred;
  • Project management skills/experience preferred.
